Abstract Overview

In 2025, Deakin Residential Services took a bold leap forward by introducing Auto Allocate for 2026 Applications, transforming a process once dominated by spreadsheets and manual data entry into a streamlined, automated system. This session takes you on our journey from challenges to breakthroughs, highlighting not just the technology behind the change but the human stories that shaped it.
We'll begin by exploring the pain points of our previous approach: managing massive application volumes, the bottlenecks caused by manual entry, inconsistent decision-making across campuses, and the tricky balance of student preferences, equity, and available rooms. For years, each campus had to rely on a cumbersome spreadsheet that became more challenging as numbers grew, stretching staff thin, especially during peak periods.
Then we’ll dive into how Auto Allocate reimagined this process. We’ll share how we configured the system to address these challenges, creating campus-specific rules, prioritisation logic, and fairness-driven criteria that put equity at the heart of our allocation model. Attendees will gain insight into the decision-making, technical setup, and thorough testing process that ensured accuracy and consistency.
Centralising the entire application and allocation process became one of the most valuable outcomes of this change. Managing everything from a single system reduced repetitive tasks, balanced workloads, and allowed the team to focus more on enhancing the student experience. While applicants may not see the behind-the-scenes improvements, they benefit through significantly faster offers. Streamlined workflows enable earlier issuing of offers, helping secure occupancy and revenue sooner while giving residents more time to prepare for a smooth transition to campus.
Finally, we’ll outline a clear roadmap, sharing tools, preparation steps, and insights to help institutions streamline processes and build a more efficient, automated admissions experience.
